Job Applicants Privacy Notice

How Digitalog handles personal information collected during recruitment.

Digitalog Technologies Inc. ("Digitalog", "we", "us", "our") takes your privacy seriously. This Privacy Notice explains how we collect, use, share, and protect the personal information of job applicants as part of any recruitment process, and describes your rights regarding our use of, and your access to, that information. It applies to candidates who apply for a role with Digitalog, whether directly or through a recruiter.

How your information will be used

Digitalog has a legitimate interest in processing personal data during the recruitment process and in keeping records of that process.

Processing applicant data allows us to manage recruitment, assess and confirm a candidate's suitability for a role, and decide to whom we offer a job. We may also need to process applicant data to respond to and defend against legal claims, and in some cases to comply with our legal obligations, such as right-to-work checks.

If your application is unsuccessful, we may keep your personal data on file in case a future opportunity that may interest you arises. You are free to ask us to delete your data at any time.

What information we collect

The information we hold and process is for our management and administrative use only. We collect a range of information about you, including:

  • Personal details: your name, address, and contact details, including email address and telephone number;
  • Education and work experience: your CV, qualifications, skills, experience, employment history, and any assessment or test results;
  • Compensation: your compensation expectations and, in some cases, your current compensation as provided by you;
  • Right to work: information about your entitlement to work in the relevant location.

We collect this information in a variety of ways — for example, from application forms or your CV, or through interviews and other forms of assessment. We may also collect personal data about you from third parties, such as references supplied by former employers, or through professional networking services where you have chosen to share information with recruiters.

You are under no statutory or contractual obligation to provide data to Digitalog during recruitment. However, if you do not provide certain information, we may not be able to process your application properly or at all.

Data may be stored in a range of places, including on your application record, in HR management systems, and on other IT systems.

Sensitive data

Digitalog does not process special categories of personal data — such as data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, biometric data, health, or sexual orientation — as part of the recruitment process. If, exceptionally, we ever needed to process such data, we would do so only where permitted by law and, where required, with your explicit consent.

When we disclose your personal information

Your information may be shared internally for the purposes of the recruitment process. This includes members of the HR and recruiting teams, interviewers involved in the process, hiring managers for the relevant role, and IT staff where access is necessary to perform their role.

We use third-party software service providers to support our recruitment and talent-acquisition processes, and we may share your personal data with other service providers that help us source candidates, administer and evaluate pre-employment screening and testing, and improve our recruiting practices.

Digitalog operates from offices in Seoul and London, and your personal data may be transferred and processed between these locations. Where personal data is transferred across borders, the receiving party will have provided adequate safeguards — such as standard contractual clauses or another lawful transfer mechanism. Confidentiality, security and retention

We take the confidentiality and security of your data seriously. We maintain internal policies and controls designed to ensure that your data is not lost, accidentally destroyed, misused, or disclosed, and is not accessed except by authorized employees in the proper performance of their duties.

If your application is unsuccessful, we will hold your data on file for up to two (2) years after the end of the relevant recruitment process. At the end of that period, or earlier if you so request, your data will be deleted or destroyed.

If your application is successful, the personal data gathered during recruitment will be transferred to your employee file and retained during your employment. The relevant retention periods will be provided to you in our employee privacy notice.

Your rights

Depending on your location and applicable law (such as the EU/UK GDPR or Korea's Personal Information Protection Act), you may have the following rights regarding your personal data:

  • Right to access: to access your personal data at any time;
  • Right to rectification: to request correction of personal data that is inaccurate or incomplete;
  • Right to erasure: to obtain deletion of your personal data in certain circumstances;
  • Right to restrict processing: to limit how we use your data in certain circumstances;
  • Right to object: to object to certain processing of your personal data;
  • Right to data portability: to obtain and reuse your personal data in certain circumstances;
  • Right to withdraw consent: where processing is based on consent, to withdraw it at any time, without affecting the lawfulness of processing carried out before withdrawal.
